Filming & Photography Policy

My Spirited Mind events are photographed and filmed so we can share what our community looks like when it comes together. If you would rather not be photographed, pick up a no-photo sticker at the registration desk on the event day. You don't need to give a reason.

1. Who this policy applies to

This policy applies to everyone attending or taking part in a My Spirited Mind event. That includes attendees, speakers, MCs, exhibitors, sponsors, volunteers and staff.

It forms part of, and should be read with, our Ticket Terms and Conditions, Exhibitor Terms and Conditions, and Privacy Policy. By attending an event, you agree to this policy.

2. What we record and where

My Spirited Mind, and photographers and videographers working on our behalf, may take photos and video anywhere at the event. This includes the main room, stage, exhibitor area, registration desk and break areas.

Some sessions may be filmed or live-streamed. We will announce this before the session starts.

3. How we use photos and footage

We use event photos and footage to:

•      keep a record of our events;

•      create event recaps, highlights and session videos;

•      promote our events on our website, social media, newsletters and printed materials;

•      report to the sponsors and partners who support our events.

By attending, you agree that My Spirited Mind may use photos and footage in which you appear for these purposes, without payment to you.

We edit audience questions, comments and chat messages out of recordings we publish or sell. If one is included by mistake, tell us and we will remove it.

4. If you'd rather not be photographed

On the event day, let our team know at the registration desk and pick up a no-photo sticker to wear. Our photographers and videographers are briefed to respect it. You don't need to give a reason. At online events, keep your camera off if you don't want to appear in the recording.

If you appear in a photo or video we publish and would like it removed, email hello@myspiritedmind.com with the image or link. We will remove it from the channels we control within 2 business days.

5. What we can't guarantee

We will make every reasonable effort to respect your choice. However, we cannot guarantee that you will not appear:

•      in wide room, crowd or background shots;

•      in photos or video taken by other attendees, exhibitors or media, which we do not control;

•      in material that has already been printed or shared by others.

Speakers, MCs and anyone who agrees to an interview should expect to be photographed and filmed.

6. Attendees under 18

Our events are for ages 14 and over. We will not feature an identifiable person under 18 as the focus of our promotional material without the consent of their parent or guardian. The accompanying adult can give this consent at the registration desk.

7. Taking your own photos

You're welcome to take photos for your own personal use and share them. When you do, you must:

•      respect anyone wearing a no-photo sticker;

•      not photograph or film anyone under 18 without their parent or guardian's consent;

•      not film, audio-record or live-stream any speaker's session.

Photography or filming that makes someone feel uncomfortable or harassed is not acceptable. My Spirited Mind may ask anyone who breaches this policy to delete the material or to leave the event, without a refund.

8. Exhibitors, sponsors and media

Exhibitors and their staff must follow clause 9 of the Exhibitor Terms and Conditions. They must not photograph or film any attendee wearing a no-photo sticker, or any identifiable person under 18 without the prior consent of their parent or guardian. They must not film, audio-record or live-stream any speaker's session.

We ask any media attending to respect this policy and no-photo stickers. Media are responsible for their own content.

10. Changes to this policy

My Spirited Mind may update this policy from time to time. The version published when you booked your ticket, or signed your speaker or exhibitor agreement, applies to you.
